Supplier Management

Supplier

Once you open the Supplier feature, a list of suppliers will show up.

Create Supplier

To create a supplier, proceed with the following steps:

1. Navigate to “Supplier”

2. Click "Create Supplier” (Top right corner)

The following information should be inserted:

Supplier Information

  • Name (Required: Enter the supplier’s name.)

  • Account Classification (Required: Select an account from the dropdown menu that this supplier will be associated with.)

    • The selected account acts as the parent account of this supplier in the “Chart of Accounts”
    • (The options displayed were previously configured in your "Account Classification" settings)
  • Financial Number (Optional: Enter the official financial identification number for your supplier)

  • Currency (Required: Select the default currency for this supplier’s transactions)

    • If multi-currency is enabled. Options listed depend on the created currencies in the settings (e.g., LBP, USD, EUR).

    Note!

    A supplier's transactions can be recorded in various currencies. You can select more than one currency, and the system will automatically create sub-accounts based on your selected currencies. (Account number will be the same, differentiated by the addition of the respective currency code)

  • Group (Required: Assign the supplier to a specific group from the dropdown menu, such as "Accounting," "Adminstrator")

    • Options listed depend on the pre-configured settings.
  • Active Checkbox

    • (Check this box to indicate that the supplier is active / Uncheck if the supplier is currently inactive)
    • Active ☑ Inactive ☐
  • Resident Checkbox (Check this box if the supplier is a resident)

    • Active ☑ Inactive ☐

Contact Information

  • Phone Number (Required: Input the supplier’s primary phone number.)
  • Mobile Number (Optional: Provide the supplier’s mobile contact number, if applicable.)
  • Email (Optional: Enter the supplier’s primary email address.)
  • Website (Optional: Provide the supplier’s official website URL, if applicable.)
  • Fax (Optional: Enter the supplier’s fax number, if applicable.)

Address Information

  • Country (Required: Enter the supplier’s country of residence or primary business operation, e.g., "Lebanon.")
  • Region (Required: Specify the region where the supplier is located)
    • Regions are filtered by selected country
  • City (Required: Enter the supplier’s city)
    • Cities are filtered by selected region
  • Address (Optional: Provide the complete street address)
  • Postal Code (Optional: Enter the supplier’s postal code, if applicable.)

Additional Information

  • Note (Optional: Use this field to add any relevant supplementary information or internal remarks about the supplier.)

Banks

Note!

You can add more than one bank if needed!

To add a bank, proceed with the following steps:

  1. Navigate to “Banks”

  2. Click the “Add Bank” button

  3. Enter Bank Details

    The following information should be inserted:

    • Name (Required: Enter the full, legal name of the bank.)
    • Account Number (Required: Input the unique account number associated with this bank.)

    To delete the bank you’re currently adding, click the Delete button. (Top right corner of the section)

Contacts

Note!

You can add more than one contact if needed!

To add a contact, proceed with the following steps:

  1. Navigate to “Contacts”
  2. Click the “Add Contact” button
  3. Enter Contact Details

The following information should be inserted:

  • First Name (Required: Enter the supplier’s first name.)

  • Last Name (Required: Enter the supplier’s last name.)

  • Email (Required: Enter the supplier’s primary email address.)

  • Phone Number (Required: Enter the supplier’s primary phone number.)

    To delete the contact you’re currently adding, click the Delete button. (Top right corner of the section)

Attachments

Note!

You can add more than one file or attachment if needed!

To upload files, proceed with the following steps:

  1. Navigate to “Attachments”

  2. Click on “Browse Files” button to select a file or document

    To remove an attachment you’re currently adding, click the Delete button. (Top right corner of the section)


3. Click "Save"

  • Once all required information is entered (Top right corner)

Edit Supplier

To modify an existing supplier’s details, proceed with the following steps:

1. Navigate to Supplier

2. Right click on the desired supplier and select “Edit”

The following information could be edited:

Supplier Information

Note!

Residency checkbox and currencies can’t be modified. You can only add currencies, however you can’t remove added currencies!

  • Name (Required: Enter the supplier’s name.)
  • Account Classification (Required: Select an account from the dropdown menu that this supplier will be associated with.)
    • The selected account acts as the parent account of this supplier
    • (The accounts displayed were previously configured in your "Account Classification" settings)
  • Financial Number (Optional: Enter the official financial identification number for your supplier)
  • Group (Required: Assign the supplier to a specific group from the dropdown menu, such as "Accounting," "Adminstrator")
    • Options listed depend on the pre-configured settings.
  • Active Checkbox
    • (Check this box to indicate that the supplier is active / Uncheck if the supplier is currently inactive)

    To remove an attachment, click the Delete button. (Top right corner of the section)


3. Click "Save"

  • Once all required information is updated (Top right corner)

Activate Supplier

Note!

This action is only applicable on inactive suppliers!

To activate a supplier, proceed with the following steps:

  1. Navigate to “Supplier”

  2. Right click on the desired supplier

  3. Select “Activate”

    Upon selecting activate, a pop-message will appear indicating “Supplier Activated Successfully”

Deactivate Supplier

Note!

This action is only applicable on active suppliers!

To deactivate a supplier, proceed with the following steps:

  1. Navigate to “Supplier”

  2. Right click on the desired supplier

  3. Select “Deactivate”

    Upon selecting deactivate, a pop-message will appear, press “Confirm” to continue

View Supplier

To view supplier details, proceed with the following steps:

  1. Navigate to “Supplier”.

  2. Click on the desired supplier to view

    Upon clicking on the supplier, detailed information about the supplier will be displayed on the screen.
